The registration fees include:
- Admission to all sessions
- Conference materials (printed conference handbook with short program; online access to a complete program with abstracts; sponsor & exhibitor materials)
- Tea, coffee and lunches throughout the conference
The Conference Dinner will be charged separately and is neither included in the regular, nor in the student registration fee.
Registration Terms and Conditions
1. General Information
These General Terms and Conditions ("GTC") apply to participation and the associated ticket sales for the above-mentioned event. Any deviating terms and conditions of the participant shall not apply.
The organizer reserves the right to make changes and additions to these regulations. Possible amendments and additions shall become valid upon publication on this website.
2. Contracting parties and conclusion of the contract
The Organiser offers and implements the event mentioned above and, if applicable, its accompanying.
UHHMG conducts the registration processes for the conference (and accompanying programme, if applicable) on behalf of the Organiser. Notwithstanding the above, the Organiser remains the participant’s sole contract partner. Registration for participation in the event is handled exclusively via the conference management & ticketing platform Converia GmbH (hereinafter referred to as ticketing partner).
The organizer submits an offer for the conclusion of a purchase contract with the information provided on the website. The participant accepts the offer to conclude a purchase contract by completing the order process and clicking on the "Complete registration" button in the final order screen. The effective acceptance of the offer by the participant requires that the participant has filled in all the required fields in the order screen (each marked with an "*") and has accepted these GTC.
The contract for participation in the event is only concluded after the ticketing partner has confirmed the registration to the participant in writing via e-mail. Amendments and/or additions to the contract must be made in writing. This also applies to the waiver of the written form clause.
The number of participants may be limited or "by invitation only". Registrations will be considered in the order in which payment is received. If participation is not possible due to overbooking, the participant will be notified.
The contract concerning participation in the event or any additional services is not concluded upon registration; instead, the contract is considered concluded once the ticketing partner has sent the participant a separate confirmation e-mail. The dispatch log is deemed sufficient evidence that the confirmation was delivered properly.
3. Fees and due date
Converia GmbH handles the processing of ticket sales in the name and on behalf of UHHMG. The ticketing partner collects the participation fees on behalf of UHHMG on a trust basis. Bookings are based on the General Terms and Conditions at hand and on the notes on registering for the conference. Payment of the conference fee and any additional services (accompanying programme, workshops etc.) is due within 14 days of receiving the payment request/invoice. If the participant does not pay within 14 days of receipt of the invoice, the organizer may withdraw from the contract. If the organizer withdraws from the contract, the participant loses his right to participate in the event. The amount of the applicable participation fee due depends on the time of registration. If payment is made late, the participation price that applies at the respective time of payment receipt is due. Additional claims beyond this scope for default of payment remain unaffected. Receipt by the ticketing partner of the amount owed is decisive for determining whether the payment was made in due time. All prices include VAT where applicable.; any applicable VAT is disclosed separately on the invoice. Additional delivery and/or shipping costs are not incurred unless they are shown separately. Various payment options (e.g., invoice/bank transfer, credit card, Paypal) are available for payment processing when participants register for an event. Any bank fees incurred in connection with payments outside the SEPA system are charged to the participant. This also applies to remittance costs, if the participant or his legal representative and/or persons whom he uses to perform his obligation are responsible for the remittance; slight negligence is sufficient in this respect. Other Fees of payment service providers are not charged to the participant.
If paying by credit card or Paypal, the user is led directly to the website of the respective service provider.
In the event of an unjustified chargeback to the credit card, processing costs of EUR 50.00 will be charged. In the event of a chargeback, the organizer is entitled to withdraw from the contract immediately. The participant thereby loses his/her right to participate in the booked event. Further claims of the organizer against the participants are not affected by this.
If special prices are granted for concessions (students) the applicable fees are listed in the registration platform. If no discounts are listed, these cannot be granted. If the participant has registered at a reduced participation fee rate, the participant must present proof of being eligible for the reduced rate (student ID). Proof must be provided within 7 working days of registering. If the proof of being eligible for the reduced rate is not presented within the aforementioned period, the regular participation fee will be charged. The proof can either be uploaded directly during registration or be sent per e-mail (events@uhhmg.de).
4. Cancellation
The participant is entitled to cancel their attendance at the conference and, if applicable, the accompanying programme without stating reasons in accordance with the following provisions:
- If cancelled until up to 15th July 2024, a cancellation fee of 60,00 Euro incl. VAT will be charged.
- If cancelled after the 15th July 2024, a cancellation fee of 100% of the total invoice amount will be charged.
- If a registered participant cannot attend the event due to health reasons or accident, the participant has the option of nominating a substitute who will take over the booked arrangements in full. A processing fee of 30,00 Euro incl. VAT is due for changing the booking.
Cancellation declarations shall be sent via e-mail to UHHMG and the Organiser to the following addresses stating the name, address, and registration number:

Receipt of the cancellation declaration by UHHMG is decisive for determining whether a cancellation was made in due time. For change of bookings, invoice data and rebooking 30.00 Euro incl. VAT will be charged as processing fee.

5. Cancellation of or changes to the event
The Organiser reserves the right to cancel the conference if the number of participants is too low or as a result of force majeure. If the event is cancelled, UHHMG shall inform the participants without undue delay as soon as it has knowledge of such cancellation. Any participation fees already paid will in this case be reimbursed without undue delay. Other claims by the participants beyond this scope are excluded unless the participant has suffered damages that were caused by the Organiser or its vicarious agents; such claims are limited to the foreseeable damage typical of such contracts.
If the conference has to be postponed to a date other than the originally planned date due to legal requirements, force majeure or comparable circumstances, the participant will be rebooked for the new date; the conditions of participation remain otherwise unchanged. The organiser will inform the participant via e-mail immediately of the necessity of the postponement and - as soon as this is determined - of the alternative date for the holding of the conference. The participant may cancel his participation within 14 days after notification of the alternative date without giving reasons. In this case, conference fees already paid will be refunded within 14 days. Any further claims of the participant are excluded, unless the participant has suffered damages caused by the organizer or his vicarious agents intentionally or through gross negligence; corresponding claims are limited to foreseeable damages typical for the contract. If the participant does not revoke his participation within the aforementioned 14-day period, the contract will be changed to the new conference date and otherwise continue to exist unchanged. In this case, the participant has no further claims against the organizer as a result of the postponement of the conference.
Participants are not entitled to assert claims against the Organiser if the event programme or venue is changed due to unforeseen circumstances or due to cancellations by speakers at short notice or for similar reasons, provided the overall nature of the event is maintained.
6. Liability
The Organiser is only liable for damage if such damage is caused by violation of a material contractual obligation or by intentional or grossly negligent conduct by the Organiser or its vicarious agents. In case of violation of a material contractual obligation, liability (also in case of negligent conduct) is limited to the foreseeable damage typical of such contracts. A material contractual obligation is defined as an obligation that is essential for the proper implementation of the contract or an obligation on the fulfilment of which the participant relied and may reasonably rely upon.
Any liability for compensation of damages beyond this scope is excluded. Liability for culpable injuries to life, limb or health as per the statutory provisions shall remain unaffected hereby. This also applies to the mandatory liability under the German Product Liability Act (Produkthaftungsgesetz).
7. Privacy policy
The participants’ personal data is stored and processed under strict observance of the data protection regulations. The participants’ personal data is stored and processed only to the extent required to implement and execute the contractual relationship with the customer and for the duration that the Organiser is obliged by law to retain such data. Collecting, storing and processing the personal data of participants is unavoidable when registering to an event. The participants’ data are only disclosed to third parties involved directly in managing the conference and if the organisational process requires (agents in charge of implementing the conference). Against this background, UHHMG undertakes to use the personal data made available by the Organiser exclusively for carrying out the contractual services.
8. Images/photographs
Please note that film footage, photographs and audio recordings may be realised within the scope of the conference and accompanying programme. Such footage and recordings may be processed, used, exploited and published by the Organiser free of charge and without limitation concerning time and place for non-commercial purposes. Upon registering, the participant consents to such recordings being used and grants the Organiser the right of use of the respective recordings without limitation concerning the time and place. Generally, names are not mentioned.
9. Miscellaneous
The place of performance is Hamburg; the place of jurisdiction for any claims either party may have against the respective other party is Hamburg, provided the participant is a legal entity. Whenever written form is provided by these terms and conditions, sending an e-mail is deemed sufficient. German law applies to all legal relationships resulting from registering to attend events offered by the Organiser, under exclusion of international private law and the UN CISG as adopted into German law.
The organizer points out that, in addition to its own General Terms and Conditions, the General Terms and Conditions for the use of the conference management & ticketing platform Converia GmbH apply in addition and are thus part of the preceding regulations.
